- AREAS OF RESPONSIBILITY
Define the main areas and objectives that the job is responsible for:
- Provide logistics and admin support to Area Office
- Ensures and control all the rental vehicles as per the framework agreements with NCA and ensure all Log sheets are signed.
- Ensure good filing, well organized documentation system for logistics and admin tasks in NCA office that are accessible to auditor at any time.
- MAIN TASKS (3 to 5 tasks)
List the primary tasks that are required to achieve the objectives and areas of responsibility defined above:
- Assist day to day activities of Logistics and Administrative tasks.
- Responsible for sourcing quotations from prequalified suppliers in Jubbaland Region as per NCA thresholds.
- Making sure all the project staffs in the field prepare procurement plans, purchase requests and ensure they are approved by the respective Budget Holder with correct specifications.
- Arrangement of local open tendering process in the field and making sure all the applicants participate in tender opening procedures as per NCA procurement policy for transparency and accountability.
- Carryout market survey and market research to asset the price of commodities.
- Ensures and control all the rental vehicles signs framework agreements with NCA and correct procurement procedure is followed.
- Maintain asset register and tag all assets in the Dollow field office and ensure all asset verifications.
- In close collaboration with logistics officer, making sure all the procurement policies and principles are followed and NCA procurement templates are used correctly.
- Ensure good filing, well organized documentation system in NCA office that are accessible to auditor at any time.
- OTHER DUTIES / FUNCTIONS ASSIGNED TO THE POSTION
List any other duties / functions that this job entails (project or team leadership / coordination, travel requirements, etc.):
- In charge of guesthouse management and accommodation
- Any other task delegated by the line management.
REQUIRED QUALIFICATIONS AND EXPERIENCE:
- Diploma in Logistics and Procurement Management/Business Administration or equivalent
- At least three years’ experience as a logistics and Admin. Assistant with an NGO
- Ability to use computer packages - Word, Excel and Power point, email, and Internet.
- Good organizational skills, including, ability to work to deadlines, priorities, pay attention to detail and good numeracy skills.
- Documented results related to the position’s responsibilities.
- Excellent written and oral communication skills, in English
- Possess cultural awareness and sensitivity.
- Ability to work independently and as part of a team.
- Fluency in English and Somali, both written and verbal.
- Knowledge of the context in Somalia is an essential
- Ability to plan and coordinate.
- Ability to work under pressure and meet deadlines.
We Offer
Contract period: 12 Months with the possibility of extension.
Salary: According to NCA salary scale.
Duty Station: Dollow.
